How an industrial property consultant helps you choose a space

From the operational brief to viewings and commercial comparisons: what to ask an industrial property consultant and how to prepare your search.

An industrial property search works better when operational needs become clear selection criteria. A consultant can help turn a broad search for warehouses, production premises or warehouse-and-office combinations into a shortlist you can compare.

The value of the work depends on the agreed scope. Identifying listings is one part; clarifying requirements, asking the right questions and organising information are also important. Confirm what is included before starting the collaboration.

Start with an operational brief

Describe what the business does and how goods, people and vehicles move through the space. Separate essential requirements from preferences. Useful information includes:

  • minimum, preferred and maximum area;
  • the split between storage, production, offices and showroom space;
  • loading arrangements and vehicle types;
  • clearance, power and other essential technical requirements;
  • preferred locations and transport routes;
  • target move date and expected lease duration;
  • an indicative total budget and plans for growth.

Agree who can update the brief and who participates in the decision. Without this, a shortlist can change repeatedly for reasons that were never recorded.

Filter offers before arranging viewings

A consultant can collect current information, contact the relevant parties and remove options that fail essential criteria. A smaller, relevant shortlist is easier to assess than a long list of superficially similar advertisements.

Ask how availability is checked, what information has been confirmed and what remains an assumption. Advertised figures need to be connected to the specific unit being offered. A site's largest possible area may not be the unit currently available for occupation.

Prepare technical questions

For warehouse and production space, ask about access routes, unloading, circulation, floor characteristics, clear height, doors, power, utilities and any operating restrictions relevant to your activity.

A property consultant can organise questions and request information, but the limits of the role should remain clear. Where suitability depends on engineering, safety, environmental or legal issues, involve the relevant qualified specialists. Marketing descriptions do not replace their assessments.

Make viewings comparable

Use the same checklist at each site. Bring colleagues responsible for the operational requirements and record the answers, photographs where permitted and points that need follow-up.

Check the practical route into the site and through the proposed space. Discuss deliveries, staff access, office requirements and potential adaptations. Record who will answer outstanding questions and by when, rather than treating an incomplete viewing as a confirmed match.

Compare the full commercial offer

The advertised rent per square metre may not include every occupancy cost. Ask for an itemised quotation for the exact module, distinguishing rent, services, utilities, parking, deposits and fit-out responsibilities where applicable.

Also compare handover condition, timing, incentives and the period of commitment. Our total-price and unit-price guide explains why a headline number is not enough to compare properties.

Clarify support during negotiations

Commercial discussions may cover the initial term, start date, fit-out period, deposit, rent adjustments, expansion options and exit conditions. Not every point is negotiable, and no consultant can guarantee a particular outcome.

Ask who represents your interests, what commercial support is included and when you need a lawyer or other specialist. Legal interpretation and the effects of contractual wording should be reviewed by an appropriately qualified adviser.

Ask how the collaboration works

Before choosing a consultant, clarify the services, fees, who pays them, exclusivity if any and how potential conflicts of interest are handled. Ask what you will receive: a written brief, comparable offers, viewing support or follow-up on outstanding information.

Representation can be useful when relocation, expansion or a longer commitment demands more coordination than your internal team can provide. Its usefulness depends on specific responsibilities and communication, not on the job title alone.

Prepare your first enquiry

Send the intended activity, required area, preferred zones, vehicle and technical requirements, move date and indicative budget. Identify what is mandatory and what can change.

Browse the industrial properties available around Bucharest and include the links that look relevant. This gives the first conversation a concrete starting point and helps the shortlist reflect how the space needs to work for your business.
